Our standard document retention policy is 7 years from date of transaction, for vehicle sales (from June 2023), Deal File Documents are stored electronically via iStoreDOCS and customers are provided with a secure login (provided they have a valid email address) with two-factor authentication so they can access this information. Other documentation is stored at a secure location.
Cox Motor Group and its partners take your privacy seriously and will only use your personal information for the following purposes, to administer your account and to provide the products and services you have requested from us. Informing you during every contact and for marketing purposes gaining your consent about the way your data is both obtained and processed by us, is a legal requirement of The General Data Protect Regulation (GDPR) which became law in May 2018.
We will contact you as advised with manufactures* and our nominated partner suppliers* to ensure the ongoing safety and care of your vehicle and any finance policies are maintained, and where consent is provided the replacement of your vehicle and car related products. If you want us to arrange Finance, our finance providers will conduct an affordability assessment on you before making a decision whether to offer you finance to fund your vehicle, they will conduct credit searches using agencies such as Experian and CIFAS.
We cross check your data with DVLA to ensure accurate and timely communications. We track data using email interaction to understand whether communication reach you e.g. service reminders. We also check driver and vehicle profiles including drive time, vehicle age and type of work due to help prioritse customer contact.
We combine data from various sources* e.g. Service Plan Providers, Vehicle health check systems into one place, to deliver an imrpoved customer experience.
